Annual Benefits Enrollment Period
|
|
|
|
September 30 – October 25, 2024
The Annual Benefits Enrollment (ABE) period for 2024 runs from Monday, September 30 – Friday, October 25. This is the only time of the year when you can make benefits changes unless you have a life event (marriage, birth of a child, divorce, employment change, etc.) that allows you to change your benefits. Changes made during this period will be effective January 1, 2025.
Important Dates to Know and Things to Plan For
- Friday, October 25 at 4:30 PM is the deadline for insurance applications. They must be submitted online via your MyUW or received as an email attachment to the payroll@housing.wisc.edu inbox by 4:30 PM in order to qualify for 2025 benefits changes. We cannot accept late applications.
- If you email a paper application do not include Social Security Numbers on it. Call Housing payroll and leave us a message with the numbers, 608-262-2308.
We highly recommend you submit all emailed applications before Thursday, October 24 at 4:30 PM so that the Housing Payroll & Benefits Specialists can review them before the final submission date.
- During ABE (and the rest of the year), please direct any payroll or benefits related emails to the Payroll Inbox (payroll@housing.wisc.edu) instead of directly emailing an individual. This helps us to respond more efficiently and allows overall awareness in the department. Thank you!
- During the Annual Benefits Enrollment period, check your Wisc email account for communication regarding benefits changes.
- Keep in mind the items listed below must have action taken on in order to be active in 2025:
- High Deductible Health Plan (HDHP) must have an accompanying Health Savings Account (HSA),
- The $2,000 Opt-Out Incentive,
- Flexible Spending Accounts (FSA) for medical or dependent care must be renewed every year. Be sure to review the amount you are committing for the benefit year.

Employee Benefits & Resource Fair
Employees have multiple options for attending benefits resource sessions this year. UW–Madison is offering an on-site Employee Resource Fair on Tuesday, October 8 from 9:00 AM - 3:00 PM in Varsity Hall, Union South. At this fair, employees can learn about benefits offerings. No pre-registration is required. UW System is also offering virtual Employee Benefits Fair sessions throughout ABE.

Well Wisconsin Program
|
The Well Wisconsin program, administered by WebMD, provides tools and resources to help participants set health and well-being goals, track progress, stay motivated, and earn incentives. Employees, retirees, and their spouses who participate in the Group Health Insurance Program have access to the Well Wisconsin program and can earn a $150 incentive if they complete certain activities by October 11, 2024.

Fall 2024 Flu & COVID-19 Vaccine Clinics for Students & Employees
This fall, all current UW-Madison students and employees can receive their flu and COVID-19 vaccines at UHS clinics across campus. There are 17 clinics throughout the fall semester. All clinics run from 8:30 AM to 4:30 PM.
Registration is required for a vaccine appointment. Please bring your Wiscard and health insurance information to your appointment.

Additional Benefits Resources
Cultural Linguistics Services (CLS) Benefits Seminars and Individual Meetings
Cultural Linguistics Services (CLS) sessions will be offered on Thursday, October 3rd, from 9:30 am until 11:00 am at Gordon Dining and Event Center. All employees who utilize CLS language support services are encouraged to attend one of these sessions.
Individual Benefits Meetings with CLS
Employees who indicated interest in having a meeting after the CLS supported group session on October 3rd, will have a meeting scheduled with HR through their Supervisor. Currently CLS does not have availability beyond this for individual employee benefits meetings. All meetings are limited to 30 minutes, so staff need to come with specific questions. There will not be time to discuss everything that will be covered in the October 3rd meetings. Employees need to have their NetID and DUO MFA ready for this appointment.
Making Benefits Changes – Resources and Help Available
Support your ABE self-enrollement here. As you work through your ABE event and you have questions or concerns, you can reach out to use through our email at payroll@housing.wisc.edu or by phone at 608-262-2308.
- Please do not wait until the last day to make changes – we cannot view eBenefits updates until the following day, so we have no way of catching errors made on October 25.
- Housing benefits staff will again be able to offer English speaking (non CLS supported) individual sessions. If you have additional questions, you can reach out to the University Housing Payroll Office. We will offer 30-minute appointments to help with questions directly related to this annual benefit enrollment activity. Please come informed and ready to discuss your specific questions. Also, bring your NetID and have DUO/MFA set up. We are unable to provide an overview of all the ABE options in just 30 minutes.
As we start gearing up for Annual Benefits Enrollment (ABE), Madison Benefits Services and Cultural Linguistic Services want to remind you of a useful resource, the 2024 Benefits Overview for UW–Madison Employees video. It is available in six languages (English, Spanish, Hmong, Tibetan, Chinese, and Nepali).
The video provides employees who are eligible for the Wisconsin Retirement System (WRS) with basic information about the WRS, health insurance, supplemental insurance, and life and disability insurance. Although this video covers 2024 information, employees can watch it to refresh their knowledge of benefits as they prepare to make their elections for 2025.

Windows 11 Upgrades
Over the next few weeks, DoIT will be upgrading all Housing PC workstations to the latest Windows 11 OS. Please watch for upcoming emails with specific dates for your department and instructions to help make this a smooth transition.
